10. Administrator - Adding Invigilators

To invigilate is to control an exam and ensure that the external provider’s rules are being adhered to whilst the users are undergoing the online tests.

Administrators have access rights to invigilate and can do this using their Administrator logins; therefore, creating an Invigilator group is optional and is not required.  However, if a user is required just to invigilate and not administrate in the testing system, they can be created in ATLAS Cloud as an Invigilator.  Invigilators only have Read access to the system as their primary role is to log students on to take the tests, not administrate them.

Create an Invigilator Group

Create the Invigilator group if required.

If the Invigilators folder is already setup, skip to Creating an Invigilator below.

To create the Invigilators folder:

  1. Highlight the top level of the organisation tree structure
  2. Click the Organization drop down (located on the top left hand side of the screen)
  3. Move the mouse over Create
  4. Click Add group
  5. Enter the group name: Invigilators
  6. Click the Save changes button

The Invigilators folder is now added and will appear in the tree structure.

The access rights now need to be applied to the folder:

  1. Highlight the Invigilators folder and select the Access tab
  2. Click the Edit button (located at the bottom of the screen)
  3. Highlight the Candidates folder on the Edit access window
  4. Tick the Read access
  5. Click the Save button

The checkbox will give Invigilators access to unlock test sessions.

The Invigilator access rights have been set up.  Now select the correct role for the Invigilator.

  1. Click the Roles tab
  2. Tick the User Administrator role
  3. Click the Save button

Creating an Invigilator

Once the Invigilator group has been set up correctly; the Invigilator can be created.

To create the Invigilator user:

  1. Click the Invigilator folder in the tree structure
  2. Select the Organization drop down (located on the top left of the screen)
  3. Highlight Create and then select Add user

The Create profile screen will appear. The Invigilator’s details need to be added here and saved.

Please note that the mandatory fields include: Username, Password, First name, Last Name, Date of birth and Email address. Remember username and passwords are both case sensitive.

  1. Add the Username
  2. Type the Password
  3. Retype the same Password in the Confirm password field
  4. Type the Last Name
  5. Type the First name
  6. Scroll down to view further fields
  7. Complete the Email address field
  8. Add any further non mandatory information into the other fields for your reference, if required
  9. Click the Save button

The new Invigilator now appears in the tree structure under the Invigilators folder. Please pass the username and password details onto the new Invigilator for them to be able to log into the system.
