24. Administrator - Allocating Test Credits

In order for a Candidate to take a test they must be assigned the test, as discussed in the Administrator - Assigning Tests and Limits section, and also be allocated a credit. The credit allocation is covered in this section.

Allocating Test Credits to a Single User

To allocate test credits to a Candidate:

  1. Select the required Candidate in the tree structure on the left hand side
  2. Click on the Balance tab
  3. Scroll down to view the correct category required. The number of credits already allocated are shown in the first number column and the number of credits already used are shown in the right hand number column. If the user is new then zero will appear in both columns
  4. Click the Advanced button to the right of the credit category required
  5. The Balance fields will be displayed and you can start typing the number of test credits you wish to allocate in the Allocate field
  6. Then, from the adjacent drop down list, select the Customer name/number
  7. Click the Allocate button (located to the right of the Customer name/number) A transaction listing displays, prompting a confirmation to the transaction.  The specified number of test credits will be subtracted from the Customer balance and allocated to the Candidate
  8. Click the Ok button to continue (or the Cancel button to stop the transaction)
  9. Click on the Balance tab to return to the test credit listings

The selected Candidate will then show the number of credits allocated in the first number column to the right of the credit category.

Please note that when credits are present at the folder/group level (for example in the Candidates folder) it is possible to type the new number of credits directly into the Available field and click the Save button.  To check if there are any credits at class/group level, click on the group name, and click on Balance

Allocating Test Credits to Multiple Candidates

To minimise the amount of Administration required, it is possible to allocate tests to multiple Candidates by using the Allocate to a Minimum or the Auto Allocate facilities.

Allocate to a Minimum

The quickest way to allocate credits to multiple users at once is using the Allocate to a minimum function.  This method ensures that all users within the selected group have the same number of credits available.  In order to allocate to a minimum, a sufficient number of credits first need to be available at group level.

To allocate to a minimum:

  1. Click on the folder/group name that require credits
  2. Click on Balance
  3. Click the Advanced button to the right of the required category
  4. Type the number of test credits to allocate to the group in the Allocate field, then from the drop down list select the Customer name/number and click the Allocate button Please note that a sufficient number of credits first need to be available at group level (shown in the Available field at the top of the screen) 
  5. Under Allocate to a minimum, type the number of credits you wish each Candidate in the group to have
  6. Click the Allocate to a minimum button. A transaction listing displays, prompting a confirmation of the transaction.  The specified number of test credits will be subtracted from the group balance and allocated to the Candidates 
  7. Click the Ok button

Please note that a student with tests already allocated to them may either not appear in the list or will show a different amount of credits applied.  

Please also note that this only applies to current users directly under the current group; it will not apply to new users within the group.  The Auto allocate function should be used to apply to any new users. 

Auto Allocate

The Auto allocate function allows a specified number of credits to be automatically allocated to any new users in a group. This applies to newly downloaded users and existing users who are moved to the group from another folder. It will not apply to any users already present in the group, so to quickly allocate credits to multiple existing users please use the Allocate to a minimum function described in the Allocate to a Minimum section.

Please note that a sufficient number of credits need to be available at group level for the Auto allocate function to take effect.

To auto allocate:

  1. Click on the folder/group name that requires the Auto allocating
  2. Click on Balance
  3. Click the Advanced button to the right of the required category
  4. Under Auto allocate, enter the number of credits that you wish each new user to be given (in the field to the right of the Allocate to all new users in this group) and then click the Auto allocate button

Any new users to the group will be automatically allocated the specified number of credits upon addition to the folder – provided that a sufficient number of credits are present at group level.  If there are not enough credits present to complete the request, the user will still be added but a message will be displayed confirming that the credits could not be added.

Please note that this only applies to users directly under the current group.
